We collect information you provide when you submit an enquiry, request portal access, upload documents, join an update list or communicate with us. Agent Verification and identity documents
Agent applicants provide identity and due-diligence information so we can verify who may represent SourceAxis Global, protect clients and suppliers, prevent fraud and conflicts, administer agreements and commissions, and meet legal, security and audit obligations. We collect only information reasonably needed for the applicant's verification level and do not treat verification as permission for unrestricted access.
Verification information may include legal name, date of birth, nationality, residential address, government-issued identification, a live selfie, verified contact details, bank-account name evidence, emergency contact, signed agreements, conflicts disclosures and review records. Company applicants may also provide registration documents, registered address, directors, beneficial owners and authorised-representative details. Level 3 checks may include references, sanctions and politically exposed person screening, business or employment history and periodic re-verification.
Identity documents and selfies are sensitive security assets. They are stored in restricted private storage, encrypted in transit and at rest by our infrastructure providers, and made available only to authorised reviewers and service providers who need them for verification, security, legal or audit purposes. Access and verification decisions are recorded. Agents see only assigned clients, requests, approved suppliers and the minimum documents required for a task.
- Rejected or withdrawn applicant identity files are scheduled for deletion within 90 days after the review or appeal period, unless a documented legal, fraud-prevention or dispute reason requires longer retention.
- Approved-agent identity files are reviewed for continued necessity and scheduled for deletion within 12 months after the agent relationship ends, unless applicable law or an active investigation requires longer retention.
- Signed agreements, commission, payment, security and audit records may be retained for up to seven years after the relationship ends where needed for contractual, tax, legal or fraud-prevention purposes.
- Retention may be shortened when records are no longer necessary, and any justified extension is access-restricted and documented.
Data protection principles and safeguards
We process personal data lawfully, fairly and transparently; for specified purposes; in a way that is adequate, relevant and limited to what is necessary; accurately; for no longer than needed; and with appropriate security and accountability controls. These safeguards reflect the Nigeria Data Protection Act 2023 and the UK GDPR principles.
Access to verification data is role-based and reviewed. We use private storage, secure transmission, audit records, least-privilege administration and deletion schedules. No agent may change payment destinations, approve their own quotation or delete audit records, and sensitive operational actions require admin approval.
Your data rights
Depending on your jurisdiction, you may request access, correction, deletion, restriction, objection, portability or withdrawal of consent by emailing hello@sourceaxisglobal.com.
UK and EU residents may also contact the Information Commissioner's Office or the relevant EU supervisory authority. Nigeria residents may contact the Nigeria Data Protection Commission.
Responsible sourcing
SourceAxis Global expects clients, suppliers, buyers, agents and service partners to trade ethically, lawfully and without causing harm to people, communities or the environment.
- No forced, bonded, trafficked, prison, involuntary or child labour.
- No bribery, kickbacks, hidden commissions, forged documents or fraudulent product claims.
- No knowingly supporting armed conflict, sanctions evasion, environmental harm or serious human-rights abuse.
- Clear records covering origin, supplier identity, product description, inspection results, certifications and shipping documents.
Supplier and partner conduct
Suppliers, factories, buyers, agents, inspection partners and logistics providers must comply with applicable laws in their countries of operation and destination markets.
SourceAxis Global may carry out document checks, business verification, reference checks, site visits, product inspections, sample reviews and risk assessments. Verification reduces risk but does not guarantee supplier or buyer performance, customs clearance or commercial success.
Intellectual property
The SourceAxis Global name, logo, brand assets, website layout, service descriptions, document templates, portal screens, written content, graphics, data and reports are owned by or licensed to HubX Limited.
You may view website content for personal or internal business reference only. You may not copy, reproduce, sell, redistribute, scrape, modify or use our materials for a competing service without prior written consent.
Trade compliance
SourceAxis Global is committed to compliance with applicable trade laws, export controls, sanctions regulations and customs requirements. Clients and partners must not use our services to circumvent sanctions, export controls, customs laws or anti-money laundering obligations.
